Choosing the Right AI Model and Tool: Why Bigger Isn’t Always Better

AI platforms now offer a growing choice of models and tools, but the most powerful option is not always the best one for the job. This article explains the differences in plain English and shows how choosing wisely can help your team achieve good results without unnecessarily consuming credits or increasing your AI costs.
When you open ChatGPT, Claude or Microsoft Copilot, you may be presented with several different AI models, reasoning levels or response modes.
For someone just starting out with AI, it is perfectly natural to assume that the newest and most powerful option must always be the best choice.
But that is a little like using a sledgehammer to crack a walnut. It will certainly get the job done, but it is far more power than the task requires.
The same principle applies to AI. The best model is not necessarily the biggest or newest one. It is the model best suited to the task in front of you.
What is an AI model?
An AI model is the underlying technology that reads your request, works out what you are asking and produces the response.
AI companies offer different models because not every task requires the same level of speed, reasoning or computing power.
Some models are designed to answer everyday questions quickly and efficiently. Others are designed to spend more time reasoning through complicated instructions, reviewing large amounts of information or solving multi-step problems.
You can think of them as different tools within the same toolbox.
The names and version numbers vary between platforms and will continue to change as AI technology develops. At the time of writing in July 2026, some common examples include the following.
ChatGPT
ChatGPT currently uses model names and version numbers such as GPT-5.5 Instant, GPT-5.6 Sol and GPT-5.6 Sol Pro.
The version number identifies the particular generation or revision of the technology. For example, GPT-5.6 is a newer generation than GPT-5.5, although that does not automatically make it the best choice for every request.
GPT-5.5 Instant is designed for fast, everyday responses. GPT-5.6 Sol powers the Medium, High and Extra High reasoning options, allowing the model to spend different amounts of effort working through a request. GPT-5.6 Sol Pro is the highest-capability GPT-5.6 option and is intended for particularly difficult tasks and longer-running workflows. Availability depends on the user’s plan and their organisation’s settings.
Claude
Claude currently offers several model levels, including Claude Haiku 4.5, Claude Sonnet 5, Claude Opus 5 and Claude Fable 5.
Haiku is the fastest and most economical option. Sonnet provides a strong balance between speed, intelligence and cost, while Opus is designed for complex professional, enterprise and coding work.
Fable is Anthropic’s most capable widely released model and is intended for deep reasoning, long-running AI agents, advanced research and other particularly demanding tasks.
As with ChatGPT, the newest or most powerful Claude model is not necessarily the right choice for a simple everyday request.
Microsoft Copilot
Microsoft 365 Copilot Chat can automatically select an appropriate model in Auto mode. Users may also be able to select options such as Quick response for immediate answers or Think deeper for more thorough reasoning.
Copilot Cowork goes a step further by offering access to several models through its model selector. Its default Auto setting attempts to choose the most suitable model for the work, although users can also select a particular model when their organisation has made that option available.
You do not need to memorise every model name. They will continue to change.
The important distinction is between a model designed for quick, everyday work and one designed for complex reasoning and demanding tasks.
Three practical examples

These are general recommendations rather than strict rules.
A standard model may still produce a very good answer to a difficult question, particularly when you provide clear instructions and useful background information.
Similarly, using the most advanced model will not automatically rescue a vague or poorly written prompt.
A sensible approach: start with the lighter model and move up only when the task, or the quality of the initial answer, requires it.
Why does choosing the right model matter?
More advanced models generally require greater computing resources.
Depending on the AI platform and the type of subscription your organisation uses, selecting a more advanced model may:
· consume more credits or usage allowance;
· cause you to reach model limits sooner;
· take longer to produce a response; or
· increase usage-based charges.
The exact difference varies between platforms. Some services apply separate allowances to advanced reasoning models, while usage-based platforms may charge according to the model, tools and computing resources used.
Using the most advanced model to correct the grammar in a two-sentence email may produce an excellent result, but a much lighter model would almost certainly have done the same job.
For one person making an occasional request, the difference may be barely noticeable. However, when dozens of employees use AI throughout the day, repeatedly selecting premium models for simple tasks can quickly consume the organisation’s monthly credits and push spending beyond its intended AI budget.
The most capable models are valuable. The aim is not to avoid them, but to reserve them for work where their additional capabilities can make a meaningful difference.
Copilot or Cowork: Choose the Right AI Worker
For businesses using both Microsoft 365 Copilot and Copilot Cowork, choosing wisely involves more than selecting the right model.
Employees also need to choose the right AI worker for the task.
Standard Microsoft 365 Copilot should generally be the starting point for everyday work such as:
· drafting or rewriting an email;
· summarising a meeting or document;
· finding information within Microsoft 365;
· brainstorming ideas;
· creating an initial document draft;
· reviewing information; or
· answering questions about business content.
These are tasks where Copilot assists the user in completing the work.
Cowork is designed for a different category of task. Rather than simply providing an answer or producing a draft, it can carry out complex, multi-step work across Microsoft 365 on the user’s behalf.
For example, Cowork may be used to research a topic, prepare documents, organise information, work with files, use browser tools or coordinate several related steps as part of a longer-running task.
This additional capability comes with an additional cost.
Copilot Cowork requires a Microsoft 365 Copilot licence and usage-based billing through Copilot Credits. Activities such as model responses, tool and skill calls, image generation and browser tasks all contribute towards an organisation’s Cowork consumption.
Using Cowork to perform a basic task that standard Copilot could easily handle is therefore a little like paying a specialist consultant to complete a routine administrative job. The result may be perfectly good, but the additional expense was unnecessary.
Do you need an answer, summary, analysis or draft? Start with Copilot
Do you need AI to carry out a complex, multi-step task on your behalf? Consider Cowork
Do I need AI to act on my behalf, or do I simply need AI to assist me?
Cowork should not be viewed as simply a better or more powerful version of ordinary Copilot. It is a specialised AI worker designed for tasks involving action, coordination and sustained execution.
Using standard Copilot whenever it can comfortably perform the task will help organisations avoid unnecessarily consuming Cowork credits and keep their usage-based AI expenditure under control.
When should you use a lighter model?
A faster or standard model will usually be suitable for everyday tasks such as:
· rewriting an email;
· correcting spelling and grammar;
· summarising a short document;
· brainstorming names or ideas;
· preparing a meeting agenda;
· creating a basic checklist;
· reformatting existing information; or
· answering a straightforward question.
For these tasks, you generally need a clear and competent answer rather than lengthy analysis or advanced problem-solving.
When should you use an advanced model?
Consider moving to a more capable reasoning model when the task involves:
· comparing several documents or sources;
· solving a complicated technical problem;
· analysing data and identifying patterns;
· reviewing code or planning a significant project;
· weighing up financial, operational or strategic options;
· conducting detailed research;
· considering several competing risks or priorities; or
· producing an answer that needs to be carefully tested and refined.
You may also decide to move to a more advanced model when the initial answer from the standard model is too shallow, misses important details or fails to follow a complicated set of instructions.
Ask one question before choosing
Before selecting the most powerful model, ask yourself:
"Does this task genuinely require deep reasoning, or do I simply need a quick and competent answer?”
Before selecting Cowork, ask:
“Do I need AI to carry out the work, or do I only need help completing it myself?”
These two questions can prevent a great deal of unnecessary usage.
Where an automatic model-selection option is available, it can also be a sensible starting point. ChatGPT can automatically move from an Instant response to deeper reasoning for a more complex request, while Copilot and Cowork provide Auto options that can select a model based on the task.
However, users should still develop a basic understanding of the choices available. An automatic option is helpful, but it is not a replacement for thinking about the nature of the task and the value of the result.
Build the Right Habits from the Beginning
The objective is not to use the smartest model or most advanced AI tool every time. It is to use the right option for the work being performed.
Teaching employees to match the model and tool to the task is a small habit that can make a significant difference.
It helps preserve available AI capacity, keeps usage costs under control and allows the organisation to reserve its most powerful tools for the occasions when they can deliver the greatest value.
Just as importantly, it encourages staff to think carefully about what they are asking AI to do, rather than automatically selecting the biggest model or most advanced worker and hoping for the best.
